Guernsey Finance – Senior Events Executive

Our client Guernsey Finance has an exciting new career opportunity for an experienced Senior Events Executive.

Joining their experienced events team, the Senior Events Executive is responsible for supporting in the production of the annual event programme, as well as project managing and reporting on the planning, production and execution of Guernsey Finance events and 3rd party conferences.

  • Events team objectives:
    • Plan, organise and execute a global events calendar to support hitting the agency mission.
    • Deliver pioneering events which deliver the agency messages across sectors and campaigns.

  • Responsibilities:
    Senior Events Executive (SEE), as part of the events team, is responsible for supporting in the production of the annual
    event programme, as well as project managing and reporting on the planning, production and execution of Guernsey
    Finance events and 3rd party conferences.
  • GF events:
    • Project management of GF events where event lead is applied and maintain event Teamwork projects.
    • Liaise with external suppliers, such as Bill Bowden, Tree-Nation, photographers etc. – ensure all needs are
    reviewed and assessed, regarding contracts and expenditure.
    • Review and assess event venues, including negotiations regarding contracts and expenditure.
    • Review, monitor, maintain and update registration systems and processes, and streamline where necessary.
    • Oversee staffing, speakers, and technical requirements.
    • Assist in the formation of event advisory groups (EAG), alongside DCEO, EandOD, Strategy & Technical.
    • Co-ordinate and attend EAG meetings, preparing the relevant pre and post meeting documentation.
    • Consult with industry representatives on their needs regarding the event.
    • Create and manage sponsorship packages and maintain sponsor relations.
    • Maintain and update event budgets regularly – ensuring expenditure and income is reported correctly and
    inform EandOD of any potential issues.
    • Coordinate the supply of relevant marketing materials and information to event sponsors and advisors
    (company profile, logos, speaker details, etc.).
    • Briefing content, and subsequent events approval on event marketing emails.
    • Attend and project manage the event on the day when required; execute responsibility efficiently and
    professionally – noting all feedback for de brief.
    • Review ways events can be enhanced through innovation or streamlined processes.
  • 3rd party conferences:
    • Project manage GF’s sponsored 3rd party conferences where event lead is applied, ensuring deadlines,
    budgets and GF standards are met, with responsibility for the following tasks:
    o Communicating with stakeholders regarding industry representation.
    o Coordinate the supply of relevant marketing materials and information to event organisers.
    o Co-ordination of the design, packing and freight of the GF stand presence.
    o Maintain and update event budgets regularly.
    o Travel on behalf of the company to ensure events run smoothly.
    o Ensuring those in attendance feedback – collate and share key points with wider team to ensure
    ROO / ROI is considered for any further planning.

    Other:
    • External marketing communications:
    o Reviewing and updating the management and delivery of event stock: literature, giveaways, prizes,
    and banners for GF’s exhibition stand and any GF events – in line with sustainability and eco-friendly
    objectives.
    o Briefing content, and subsequent events approval on sector newsletter emails.
    o Create and update event microsite pages and brief in all relevant teams for content.
    o Regularly review and maintain the GF events central inbox.

    • External events calendar:
    o Managing and updating the external events calendar, for on island and off island events – monthly
    review to ensure records are up to date and to track other events taking place as a central database.
    o Discussing 3rd party events with BD / wider team, as well as industry, collating feedback to populate
    3rd party event recommendations to EandOD for upcoming year, in line with agency mission and
    sector priorities. Ongoing population of research document for planning purposes.

    • Ad hoc projects as appropriate and briefed in by the Events and Operations Director, such as:
    o Venue and supplier research.
    o Curation of, and managing updates to, process and template documents, as well as Teamwork project templates.
    o Miscellaneous, applicable to the events team and/or wider agency needs.
    o Provide training and support to other members of staff where appropriate and needed as part of on
    boarding.

Whilst an events background would be advantageous, we are also interested in candidates with strong transferable skills from roles such as:

  • Personal Assistant (PA)
  • Executive Assistant (EA)
  • Business Support
  • Office Management
  • Project Coordination
