Döhle Yachts – Assistant Crewing Manager

Our client, Döhle Yachts is hiring for an Assistant Crewing Manager in their Guernsey office. Döhle are looking for someone who can come in and hit the ground running assisting the Crewing Manager, so if you have marine industry experience and junior management experience, they want to hear from you!

The Assistant Crewing Manager will be responsible for managing a portfolio of crewing clients, and where necessary, assist the Crewing Manager with any other tasks necessary with regards to the day-to-day administration of the crew employment and payroll functions for the Döhle Yachts Group, assisting the training of the more junior members of the team, checking and approving of work and payroll and, where a business case requires, travel and meeting of existing clients.

Core tasks and responsibilities:
Internal responsibilities
• Undertake all day-to-day client administration necessary to ensure that all crew employment and payroll administration tasks are completed in a timely manner.
• Maintenance of crew records and vessel data.
• Preparation of reports and records, as and when required.
• Assisting the Crewing Manager, as necessary, including covering any yacht administration undertaken by them during absences, assisting with checking of work for the team, answering more technical team queries.
• Drafting and finalising of crew employment contracts and all relevant documentation in respect of the employment of crew members.
• Liaising with other internal departments to ensure smooth and timely payments to all crew.
• Ensuring that seafarers comply with all the specified criteria set out by the Flag State and STCW
requirements, including pre-employment checks and ongoing monitoring of qualification renewals and
expiry dates, including preparation of crew manning certification matrices as and when required.
• Co-ordinating crew travel requirements, as and when required.
• Processing of Flag State documents and supporting documentation for visa applications, as and when required.
• Liaising with yacht and owners to ensure the monthly wage calculations and invoices are prepared and funds are received within the timescales specific to each yacht, to ensure the crew are paid on time
• Arranging payments to crew via current payroll software and online banking, according to the relevant payment procedures in place, including approval of payments as and when required.
• Assisting with crew related projects, as and when required.
• Where a business case requires, travel and meet existing clients to build solid relationships.
• Liaising with internal finance team in respect of all crewing related accounts and payments.
• Any other duties as and when reasonably required.

• A minimum of 3 years’ experience in a senior Crewing Administration role, with excellent
understanding of seafarer employment law.
• Proficient with Microsoft Office tools and Cello Marine payroll software.
• Excellent attention to detail.
