Our client, Ashton & Co is a niche legal practice specialising in Private Client, Trusts, and Corporate Law. The firm is seeking an experienced PA / Office Manager to provide high-level personal and operational support to the sole partner and to manage the efficient day-to-day running of the practice.
This is a varied and responsible role requiring excellent organisational skills, discretion, and the ability to manage competing priorities in a small professional practice.
The successful candidate will act as a key point of contact for clients and will play a central role in office management, compliance, and administrative efficiency. A key element of the role will be leading the practice’s transition to the Guernsey Greffe digital submission process during 2026, ensuring the firm is compliant and well prepared for implementation.
Key Responsibilities
PA & Partner Support
- Provide comprehensive personal assistant support to the sole partner.
- Develop and maintain a detailed understanding of clients, priorities, sensitivities, and key relationships.
- Proactively support the partner by anticipating needs, managing deadlines, and prioritising workload.
- Manage the partner’s diary, appointments, and correspondence.
- Draft letters and other correspondence as required.
Client & Practice Administration
- Act as a key liaison point between the firm and its clients, maintaining a high level of professionalism and confidentiality.
- Set up, maintain, and update the firm’s client database and records.
- Streamline administrative processes to ensure an efficient and effective service.
- Manage office resources, suppliers, and general office administration.
Time Recording, Billing & Financial Administration
- Ensure daily recording of time sheets.
- Support general financial administration as required.
Compliance & Regulatory Support
- Manage and maintain Client AML and KYC requirements, ensuring records are accurate and up to date.
- Support ongoing compliance obligations relevant to a legal practice.
- Take the lead on the firm’s transition to digital submissions with the Guernsey Greffe, including:
- Understanding new Greffe requirements and timelines.
- Reviewing and updating internal processes and systems.
- Coordinating implementation and supporting the partner through the change.
- Acting as the internal point of contact for digital submission matters.
- Ensuring compliance once digital processes are live.
IT & Systems
- Use and manage Microsoft Office, OneDrive, and other proprietary software packages.
- Support the effective use of IT systems within the practice.
- Maintain accurate electronic filing and document management systems.
Skills & Experience
Essential:
- Proven, wide-ranging secretarial experience, ideally within a professional services environment.
- Excellent organisational skills and attention to detail.
- Strong written and verbal communication skills.
- High level of discretion and professionalism when dealing with confidential information.
- Excellent IT skills, including Microsoft Office and cloud-based systems.
Desirable:
- Previous experience in Commercial Law, Trusts, Private Client work, or Litigation.
- Experience handling AML / KYC requirements.
- Experience supporting regulatory or process change projects.
- Familiarity with Guernsey legal or regulatory processes.

The successful candidate will have a wide range of secretarial experience, ideally within a professional services environment.
Key skills including; organisational skills, attention to detail, strong written and verbal communication and IT skills such as Microsoft office. Desirable experience includes AML /KYC requirements, familiarity with Guernsey legal or regulatory processes and experience in Commercial Law, Trusts, Private Client work or Litigation.
